Pharmacy inventory and expiry tracking software in Nigeria

Know which pack expires first, and sell that one first.

For a pharmacy, "how many are left" is only half the question. From Starter, TruKonta records each delivery of a product as its own lot with its own expiry date, sells from the lot that expires first, and warns you before stock expires.

The everyday problem

An expiry date on the shelf is easy to miss

The same product often sits on the shelf from two or three deliveries, each with a different expiry date. When the dates live only on the packs, the older stock gets pushed to the back and expires there.

TruKonta keeps each delivery as a separate lot with its expiry date, so the stock record knows what the shelf knows.

An illustrative example

Example: two deliveries of the same product

A made-up business, to show how it works. Not a customer story.

A pharmacy has 40 packs of a pain reliever expiring in March and receives 60 more expiring in November. TruKonta keeps them as two lots. When a pack is sold, it comes out of the March lot first, so the older stock leaves before the newer.

As March approaches, the expiry alert flags the packs that are left so they can be dealt with in time, and an expired lot can be written off on its own. For stock control in general, see inventory management; pharmacies with more than one outlet can read about managing more than one branch.

What you can do

One app for the whole job.

Stock by lot and expiry date

Each delivery of a product is its own lot with its own expiry date, so one product can carry several dates at once.

Earliest expiry sold first

Every sale takes stock from the lot that expires soonest, so older packs leave the shelf first.

Warnings before stock expires

Choose how many days ahead to be warned, and see which lots are close to their expiry date.

Write off an expired lot

Take a specific expired lot out of stock at its cost, so the record matches the shelf again.

How it works

An illustrative pharmacy stock routine

An example of the everyday routine. What you see depends on your plan.

  1. Add your products

List medicines and other items with their prices and costs, and switch on expiry tracking for the ones that expire.

  2. Receive each delivery as a lot

Enter the quantity and expiry date as stock arrives.

  3. Sell at the counter

Each sale draws from the earliest-expiring lot, without anyone having to pick the pack.

  4. Check what is close to expiry

Review the lots the expiry alert has flagged, on a set day each week.

  5. Write off what has expired

Remove an expired lot from stock so the record matches the shelf.

Good to know

Expiry is tracked per delivery, not per product

A single expiry date on a product is wrong the moment a new delivery arrives. TruKonta keeps the date on each lot, so a product with three deliveries on the shelf carries three dates, and both the sale and the warning follow the right one.

Yes, from Starter. Each delivery is recorded as its own lot with its expiry date, and sales take stock from the lot that expires first.

Will it warn me before stock expires?

Yes. Set how many days ahead you want to be warned, and TruKonta flags the lots that are close to expiry.

Can I write off expired stock?

Yes. Write off the expired lot on its own, at its cost, and the stock record matches the shelf again.

Can staff sell without seeing my buying price?

Yes, from Starter. Staff roles hide cost price and profit, and each person switches in with their own PIN.

Can I manage stock across more than one outlet?

Yes, on Growth (up to 3 outlets) and Business (up to 5). Each outlet keeps its own stock, and stock moves between them.
